MEMO TO INSPECTORS

Thank you for agreeing to be an inspector on Election Day, June 6, 2006. To assist you in your important duties, we are providing you with a brief summary of the duties that must be performed before Election Day. Performing these duties at the times suggested will help prevent the stress of last-minute efforts.

At Least Two Weeks Prior to Election Day

Inspectors should call their board members to introduce or acquaint themselves and be assured that the rest of the board reports to the polling place at the time you prescribe. It is suggested that you encourage your board members to attend an instruction class.

Set a reporting time for the board that will not put you under stress for the completion of forms and setting up the polling place prior to opening the polls at 7 a.m.

Make arrangements with the contact person at your designated polling place as to how you can obtain access to the polling place on Election Day. It is preferable that you obtain a key, but if that is not possible, make arrangements to have the polling place opened at 6 a.m. on Election Day. Many boards set up their polling place on the Monday before Election Day so you may want to make arrangements for access to the polling place on that Monday as well as Election Day. Make sure you get a home telephone number of a person who has access to the polling place.

On the Friday or Monday Before Election Day

Supplies will be delivered to the polling place on the Friday or Monday before election Day. Supplies that will be delivered include the ballot secrecy envelopes, voting booths, lights, tables and chairs (if applicable), and various other election supplies.

After the scheduled delivery time, it is advisable for the inspector to verify that this delivery was made. The contact person at the polling place should know when the supplies are to be delivered. However, please be aware that because of circumstances beyond our control, the scheduled deliveries are not always on time.

Some inspectors find it advantageous to set up the polling place on the Monday before the election.

On the Monday before the election, Inspectors will pick up their official ballots, ballot box and the balance of the election supplies at the distribution center designated on the back of this notice.

Attend an Election Officer Class

Please click here to find the list of election officer classes. It is mandatory that all inspectors attend one of the classes listed. Election Clerks are also encouraged to attend. Please call Tracey at 831.454.2408 if you are unable to attend a scheduled class.

Voting Absentee

Precinct Board members who are eligible to vote and wish to vote absentee should complete the absentee ballot application on the back cover of your Sample Ballot sent to you in the mail. An absentee ballot application is also available on the Internet at www.votescount.com or you may write a note requesting an absentee ballot be sent to you.

Applications may be mailed to the Santa Cruz County Elections Department or Faxed to 831.454.2445. The Elections Department must receive applications no later than 5 p.m. on May 30th, 2006.
